Terms & Conditions

At Therapy-First Physiotherapy, our goal is to welcome you to the clinic and help you achieve better health.

1. Payment Terms

Therapy First Physiotherapy must inform the client of payment terms to ensure clarity and focus on treatment. If no third party guarantees the account, payment is due in full on the treatment day.

2. Methods of Payment

Therapy First Physiotherapy accepts bank transfers and cash payments. The client must make bank transfers in advance to ensure funds are cleared on the day of treatment.

3. Insured Patients

Therapy First Physiotherapy has direct settlement arrangements with many insurance companies; this means Therapy First Physiotherapy are able to invoice the insurer directly on the client’s behalf. It will be necessary for the client to supply us with their full insurance details when they register, otherwise they will need to pay for their treatment on the day.

4. Responsibility for Payment

The client is responsible for ensuring their Private Medical Insurance covers the treatment. Therapy First Physiotherapy recommends that the client contact the insurance company before treatment to confirm if a referral is needed, understand policy terms, and maintain regular contact for ongoing coverage. Otherwise, the client must pay for treatment on the day.

Therapy First Physiotherapy will invoice the insurance company on the client’s behalf, but the client must ensure that claim forms are processed promptly. If the insurer delays or declines payment, the client must settle the invoice immediately.

We accept direct payments only from the patient or a third party with a prior arrangement. If an employer agrees to cover any excess or shortfall, the client must pay Therapy First Physiotherapy first and recover the balance from the employer.

5. Cancellations & Missed Appointments

When the client makes an appointment, we hold an agreed period of time for them. We will charge the full fee for appointments that are cancelled, not attended (DNA), or rescheduled if the client fails to give 24 hours’ notice of non-attendance. Please note that the client’s insurance companies will not pay these charges, so we will invoice the client directly.

6.Overdue Accounts

An interest charge of 12% will apply to all invoices from the date they become due. Therapy First Physiotherapy understands and will exercise its statutory right to claim interest and compensation for debt retrieval costs if it does not receive payment according to the above terms.

7.Data Protection

Therapy First Physiotherapy adheres to GDPR 2018, which regulates the processing of personal information in both manual and computer records. Clients have the right to access information held about them either electronically or in paper format. Clients who wish to obtain this information will need to contact the Therapy First Physiotherapy by email. We will arrange for the client to sign a Release of Medical Records Form. There will be an applicable administrative charge of £50.

8.Consent

Therapy First Physiotherapy requires the client consent both for processing client data and treatment. The client’s signature on the Initial Assessment form confirms that the client has read and understood the terms and conditions and that client:
